An interview with Adam Smith – Adult Carers & Family Support Officer

We provide information, advice and support to people who have an unpaid caring role for a family member, neighbour or friend who is ill, frail, disabled or has mental health or substance misuse problems. Some carers are juggling paid work with their unpaid caring responsibilities at home.

What size is the organisation and where is it based?

We have a staff size of roughly 25, and are based in East Ayrshire.

Can you give some of examples of what you use it for?

We use the system to log all interaction with an unpaid carer, their family members and the cared-for person. This is done through our Adult Support project, Young Carers Support project, Short Breaks provision for carers and Employability project.

Charitylog helps us keep track of who's coming to our weekly support groups at each location. It also helps us to track who attends our summer respite breaks and what sort of impact this has had on them. Charitylog's type of reporting suite is something we've never had access to before, and has opened up a whole host of opportunities to show funders the valuable work we do. We can demonstrate in a concrete way the difference the service is making and how, without this service, a major hole would be left unfilled in support for unpaid Carers in East Ayrshire.

Our Adult Service is now able to comprehensively track benefit gain within East Ayrshire and the system allows staff to store vital information in relation to benefit enquiries or general support.

We are now making active efforts to go paperless because of the functions that Charitylog allows us to use.

Was it easy to get started with Charitylog?

Yes. Right from our initial meeting, our implementation and training contact, Allan, just seemed to get what we did as a charitable organisation - which was a breath of fresh air, compared to some IT companies we've worked with for years who still don't fully understand it!

Allan asked questions and challenged us, to ensure we would get the most value possible from the system he set up for us. We then provided our own in-house training to our staff because we know some of the team aren’t the best when it comes to technology.

We started the rollout in our head office in week one, then all our other sites were asked to start using the system knowing that trained staff in head office would be able to support them. I'd say the biggest challenge for us has been changing the way people work.

How are you finding it so far?

We absolutely love it! We were on a very basic system before; Charitylog does what our old system did and about a thousand things more. Now we've been up and running on the system for a few weeks it has substantially reduced the time doing admin. Everything is finally in once place and not spread across various spreadsheets and databases.

There are lots of new things for us like Clubs & Clinics and the whole Reporting suite which our CEOs are singing a lot of praise about. It has really helped everyone in the organisation including our finance officer who can raise payments off the back of approved applications being sent to her from the CEOs.

One final thing is having built in GDPR solutions which allows us to store information securely and for the right amount of time and reasons - much more straightfoward than in our old system.
